Event Planning - when do I start?

Event Planning - when do I start?

When do I start planning?

Simple answer: now

There is a shortage of Audio-Visual Technicians as a result of COVID’s impact on the live entertainment technology sector. Many have moved into TV, or changed career entirely.

You need to get your event in your AV supplier’s calendar today.

Your to do list

  1. Communicate to stakeholders and management that you need to start planning earlier than normal to secure AV for your events.
  2. Lock in dates with venues ASAP.
  3. Communicate firm event dates to your AV supplier ASAP.
  4. Don’t wait till you have the event fully designed. By involving your AV supplier early, they can get an idea of the technical support required and appropriately resource your event.
  5. Don’t worry about having to adapt, postpone or cancel. Your AV supplier will build in contingency.

Advice from the professionals: Ed Smith, Hire Events Manager -

“The flood gates for in person events have just opened slightly. When they fully open in ‘Orange’ it will be a tsunami. Event organisers need to get that message out there, to the management, and start planning early.”
